Virtus Athlete — Privacy Policy
Effective Date: September 7, 2026
Last Updated: September 7, 2026
Virtus Athlete (“Virtus,” “we,” “us,” or “our”) is a New York-based virtual mentorship program for young athletes. We are committed to protecting the privacy of our athletes and their families.
This Privacy Policy explains what information we collect, how we use and share it, how we protect it, and the choices available to parents and legal guardians. Because our program serves minors, this policy also explains how we handle children’s personal information and parental consent.
1. Who This Policy Covers
Virtus Athlete is intended for athletes 12 years of age and older.
A parent or legal guardian must register an athlete under age 18, provide the required consent, and agree to our Terms and Privacy Policy.
Throughout this policy, “you” refers to the parent or legal guardian of a minor athlete, and “your athlete” refers to the minor participating in Virtus Athlete.
2. Information We Collect

Athlete’s first or preferred name, age, sport or sports, goals, interests, and other information included in the athlete profile
Scheduling selections for one-on-one mentorship and group sessions
Messages and communications sent to Virtus Athlete or its mentors

Squarespace may automatically collect certain technical information when you visit the website, including IP address, browser and device information, pages visited, and similar usage information. Squarespace may use cookies and similar technologies to provide and improve website functionality.
Scheduling Information
Virtus Athlete provides parents and guardians with scheduling links that allow them to book available mentorship appointments without creating a separate password-protected Virtus Athlete scheduling account.
Parents and guardians are responsible for keeping scheduling links private and should not share them with unauthorized individuals.
Group Session Recordings
Virtus Athlete’s live group development sessions may be recorded so that participating members can access sessions they are unable to attend live.
Recordings may contain an athlete’s name, image, voice, questions, comments, or other information voluntarily shared during the session.
Additional information regarding recordings is provided in Section 6.
3. How We Use Information
We may use personal information to:
Register athletes and administer the Virtus Athlete program
Create and maintain athlete profiles
Schedule and deliver one-on-one mentorship sessions
Schedule and deliver group mentorship and development sessions

Virtus Athlete does not sell personal information belonging to parents or athletes.
We also do not use an athlete’s personal information for third-party targeted advertising.
4. Children’s Privacy and Parental Consent
Virtus Athlete takes the privacy of young athletes seriously.
Because the program accepts athletes beginning at age 12, certain participants may be protected by the federal Children’s Online Privacy Protection Act (“COPPA”).
Parental Consent
A parent or legal guardian must register a minor athlete.
During registration, the parent or guardian is required to affirmatively agree to Virtus Athlete’s Terms and Privacy Policy and provide parental consent, including consent relating to participation in and recording of applicable group sessions.
For athletes under age 13, Virtus Athlete will obtain parental consent as required by applicable law before collecting personal information directly from the child.
Information We Collect From Athletes
We seek to collect only information reasonably necessary to operate the Virtus Athlete mentorship program.
We do not require an athlete to disclose more personal information than is reasonably necessary to participate in the program.
Parental Rights
A parent or legal guardian may contact Virtus Athlete at any time to:
Request access to personal information collected about their athlete
Request corrections to that information
Request deletion of their athlete’s personal information
Withdraw consent to further collection or use of their athlete’s personal information
Virtus Athlete may take reasonable steps to verify that the person making the request is the athlete’s parent or legal guardian.
Requests should be sent to virtusathletementorship@gmail.com.
If we learn that personal information from a child under age 13 was collected without the required parental consent, we will take reasonable steps to delete that information.
5. How We Share Information
Virtus Athlete shares personal information only when reasonably necessary to operate the program or when otherwise permitted or required by law.
Mentors
Virtus Athlete mentors may receive athlete profile information and other information reasonably necessary to prepare for and conduct mentorship sessions.
Communication between athletes and mentors outside of scheduled sessions is conducted through email.
Service Providers
Virtus Athlete uses third-party service providers to operate the program, including:
Squarespace for website hosting and related website services
Square for payment processing

Google Drive for storage of certain group session recordings and program materials
Email and communication providers used to send program-related communications
These third parties maintain their own privacy and security practices.

Investigate suspected fraud, misuse, or violations of our Terms
Business Transfers
If Virtus Athlete is involved in a sale, merger, reorganization, transfer, or similar business transaction, information may be transferred as part of that transaction subject to applicable law.
6. Video Sessions and Recordings
Group Sessions
Virtus Athlete group development sessions may be recorded.
These recordings may include an athlete’s name, image, voice, questions, comments, or other information shared during the session.
Parents provide consent to group-session recording during the registration process.
Athletes are not required to have their cameras on during group sessions. Athletes who do not wish to appear on video may participate with their camera turned off.
Group session recordings may be stored using Google Drive and made available to Virtus Athlete members through replay links.
Replay links are intended only for authorized Virtus Athlete members and should not be shared publicly or with individuals outside the program.
Virtus Athlete generally retains group session recordings for 60 days, after which they will be deleted unless there is a legitimate business or legal reason to retain them longer.
One-on-One Sessions
One-on-one mentorship sessions are not recorded by Virtus Athlete.
Participants should not independently record one-on-one sessions without the consent of all participants and Virtus Athlete.
7. How We Protect Information
Virtus Athlete uses reasonable administrative and technical measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.
Parents and athletes also play an important role in protecting information. Scheduling links, replay links, and other Virtus Athlete materials intended for members should not be shared with unauthorized individuals.
No internet transmission or electronic storage system can be guaranteed to be completely secure. Therefore, Virtus Athlete cannot guarantee absolute security.

You may configure your browser to block or refuse certain cookies. Doing so may affect the functionality of some portions of the website.
9. How Long We Keep Information
We retain personal information while an athlete is enrolled in Virtus Athlete and for as long as reasonably necessary to provide the program.
After membership ends, we will generally delete or de-identify the athlete’s personal information within 60 days.
Certain information may be retained longer when reasonably necessary or required for legal, tax, accounting, payment-processing, fraud-prevention, dispute-resolution, or other legitimate business purposes.
Group-session recordings are generally retained for no longer than 60 days, as described in Section 6.

When changes are made, the revised policy will be posted on our website and the “Last Updated” date will be updated.
If we make a material change affecting how we collect, use, or disclose children’s personal information, we will provide parents or legal guardians with additional notice and obtain new consent when required by applicable law.
